Hotel Directors Meeting March 2020

8 Artworks.

I will make some proposals later in 2020.

We have been donated a chunk of granite and will get funding for an arts project to turn this into a sculpture to be a feature on site. The size of the granite block needs to be known asap to begin the tendering process for a sculptor and thought will need to be given to location once a sculptor is identified. Tim will contact the quarry to confirm. 6/3/20: Tim has spoken to Doug, Granite available but we need to confirm where being sited and when required. Likely to need to pay for transport from quarry. Why is this important: It is important to enhance the appearance of the building and display some works in keeping with our ethos. A good sculpture on site would be a memorable feature and land mark, the publicity covering the creation of the sculpture on site and perhaps involving schools and arts departments in this would be good publicity. Ian’s suggestion is that the Granite sculpture sits in the middle of the traffic island outside the GFTU National Office and we then put ground cover shrubs around it. There has been some straying from the Finance Policy and there is perhaps insufficient clarity about levels of expenditure authority. Tim was going to get back with a note on this and proposal if needed. Why is this important: The accountable body is the Board of Directors, there has to be an agreed expenditure authorisation system in any organisation. An authorisation system protects those responsible for payments. The Leadership Team are not aware of any deviation, are the Directors / Doug to authorise all purchases? examples please? 9 Authorisation of expenditure.

6/3/20: existing policy still being followed, Site Team expenditure needs consideration.

10 Union use.

It was agreed that Directors would be provided with details of unions enquiring about use and the actual use of unions. This is so that myself or Ian who have knowledge of the trade union culture can if possible meet with new or attending unions to introduce Quorn. This needs to happen on a weekly basis by at least providing me with the business sheet for the week. Why is this important: The union client base provides the potential for a year round set of bookings. Enabling unions to get the story of Quorn from the GFTU and how it fits into funding education and new trade union objectives is helpful for attracting new affiliates.

Ian to work with Tim to produce a summary.

Kona has been asked to review the Certification Officer and TUC lists of Trade Unions and update the ACT CRM system so that we can monitor more effectively.

A monthly report of union bookings will be incorporated into the Leadership report.

6/3/20: Tim confirms he has done this.
